What of your information do we process? And for what purposes?

We process the data you provide to us in connection with your application in order to assess your suitability for this position (or any other open position in our company) and to carry out the application process. This may include general personal data (e.g. name, address, contact details), details of your professional qualifications and education, details of further professional training, cover letter and CV, interview notes, relevant data freely available on the Internet and any other data.

What is the legal basis?

We process your personal data in accordance with the provisions of the GDPR and the BDSG, insofar as this is necessary for the decision on the establishment of an employment relationship with us.

The legal basis for this is Art. 88 GDPR in connection with. § 26 BDSG and, if applicable, Art. 6 para. 1 lit. b GDPR for the initiation or execution of contractual relationships. Furthermore, we may process your personal data if this is necessary to fulfill legal obligations (Art. 6 para. 1 lit. c GDPR) or to defend against legal claims asserted against us. We may also process your personal data to protect our overriding legitimate interests (Art. 6 para. 1 lit. f GDPR), e.g. we have such a legitimate interest in order to meet the burden of proof in proceedings under the General Equal Treatment Act. If you give us your express consent to process personal data for specific purposes, the lawfulness of this processing is based on your consent pursuant to Art. 6 para. 1 lit. a GDPR. You may withdraw your consent at any time with effect for the future.

Where does your personal information come from?

We process your personal data that we receive from you by mail or electronically in the course of contacting you or your application, or that you provide to us via the personnel management tool we use.

How long is the data stored?

We will store your personal data for as long as is necessary to process your application. As a rule, your personal data or application documents will be deleted no later than 6 months after the end of the application process (e.g. notification of the rejection decision), unless longer storage is required or permitted by law.

Beyond that, we only store your personal data if this is required by law or in individual cases for the establishment, exercise or defense of legal claims for the duration of a legal dispute. If you have consented to your personal data being stored for a longer period, we will store it in accordance with your declaration of consent.

If the application process is followed by an employment, training or internship relationship, your data will continue to be stored, if necessary and permitted, and then transferred to our human resources information system.

To whom will the data be sent?

We use our internal application management system for the application process, which is provided to us by our parent company, SII Group. SII Group may also have access to your personal information in connection with the maintenance and upkeep of the systems. Your application will be reviewed by the Human Resources department upon receipt of your application. Suitable applications are then forwarded internally to the department managers responsible for the relevant vacancy. The next steps will then be coordinated. Within the company, only those individuals who need to know your information in order to complete the application process will have access to it.

If you have applied for a specific client position, we will forward your qualification profile to the relevant decision-makers at the client company. This will be done in an anonymized form or on the basis of a privacy and confidentiality agreement with our clients.

We do not intend to transfer your data to a third country (such as a country outside the EU or EEA or an international organization).

Your rights as a "data subject"

You have the rights according to Art. 15 - 22 GDPR:

  • Right of access (Art. 15 GDPR)
  • Right of rectification (Art. 16 GDPR)
  • Right to erasure (Art. 17 GDPR)
  • Right to restrict processing (Art. 18 GDPR)
  • Right to object to processing (Art. 21)
  • Right to data portability (Art. 20 GDPR)
  • Right not to be subject to an automated decision in an individual case (Art. 22 GDPR)

Right to object

If we process your data to protect legitimate interests, you may object to this processing on grounds relating to your particular situation. We will then no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or the processing is necessary for the establishment, exercise or defense of legal claims.

Where can you make a complaint? You have the option of lodging a complaint with the Data Protection Officer mentioned above or with a data protection supervisory authority. The data protection authority responsible for us is

Are you required to provide your information?

As part of your employment with us, you will be required to provide us with personal information that is necessary for the establishment, performance and termination of the employment relationship and the performance of related contractual obligations, or that we are legally required to collect. Without this information, we will not be able to perform the employment contract with you.

To what extent is there automated case-by-case decision making or profiling?

We do not use purely automated processing to make a decision.
